Overview:
The Department of Public Works and Infrastructure (DPWI) invites qualified, motivated, and organized individuals to apply for the position of Administrative Clerk: Immovable Asset Register (Verification). Successful candidates will assist in maintaining accurate records of all immovable assets owned by the Department, ensuring that property data is verified, updated, and recorded correctly on official systems.
Minimum Requirements:

A Senior Certificate / Grade 12 / equivalent qualification is required.

A valid driver’s license is compulsory, as the position involves site visits for verification.

Strong report writing and administrative skills are essential.

Computer literacy with proficiency in Microsoft Office (Word, Excel, and Outlook).

Basic numeracy and data analysis skills.

Candidates with experience in asset verification, GIS, or database management will have an added advantage.

Key Responsibilities:
The successful candidates will be responsible for:

Physical Verification of Assets:
-
Conduct on-site physical inspections and verifications of all immovable assets owned by the Department.

Record the condition, location, and existence of assets accurately.

Administrative Support:
-
Assist Assistant Directors (ASD) and Deputy Directors (DD) with verification-related administrative functions.
-
Provide logistical and clerical support for verification teams.
-

Desktop Verification and Planning:
-
Perform desktop planning for verification activities by confirming property ownership and land parcel data.
-
Assist in verifying property details using GIS spatial data and mapping systems.
-

Database and ERP System Management:
-
Check and verify property information on the Department’s databases and ERP system.
-
Approve or flag transactions captured by regional offices through the mobile application system.
-
Ensure data accuracy and consistency across platforms.

Quality Control and Data Accuracy:

Administer and monitor verification activities to ensure all property records are updated in the Immovable Asset Register (IAR).

Conduct quality checks on data received from regional offices.
-
Identify missing, incomplete, or inaccurate property data and initiate corrections.

Reporting and Documentation:

Compile verification reports and maintain supporting documents for auditing purposes.

Perform deeds searches to confirm ownership and ensure property information aligns with official records.

Interdepartmental Coordination:

Provide verified property information to other DPWI units upon request.

Collaborate with colleagues across regions to improve data accuracy and compliance.
