Requirements:

A Grade 12 Certificate (NQF Level 4) or equivalent qualification is required. No previous experience is necessary, making this an excellent entry-level opportunity within the Department of Defence (DOD). Training in asset management, codification, or procurement will serve as an added advantage.

Special requirements (skills and competencies):

  • Proficiency in English (both written and verbal).

  • Good telephone etiquette and effective communication abilities.

  • Typing skills and sound knowledge of all MS Office applications.

  • Analytical thinking, problem-solving ability, and attention to detail.

  • Excellent interpersonal and organisational skills with a high level of reliability, initiative, and integrity.

  • Numerical skills and a solid understanding of administrative policies, practices, and procedures.

  • Knowledge of DOD policies, Standard Operating Procedures (SOPs), and directives is advantageous.


Duties:

The successful candidate will provide comprehensive clerical and administrative support within the logistics environment to ensure the efficient management, control, and safekeeping of logistical documentation and records.

Key responsibilities include:

  • Managing and controlling logistical documentation to ensure compliance with security, confidentiality, and audit requirements.

  • Allocating and maintaining document identification numbers, controlling revision levels, and managing computer file reference numbers.

  • Capturing and updating data on the Logistics Database to ensure accuracy and integrity of all records.

  • Administering the document release and retrieval process, including issuing, tracking, and archiving documentation.

  • Overseeing the secure disposal of redundant or classified documentation in accordance with prescribed procedures.

  • Assisting in physical audits of documentation, record registers, and distribution logs to ensure accountability and traceability.

  • Controlling access to and distribution of classified hard copies and magnetic media, ensuring the secure return of materials once projects are completed.

  • Maintaining filing and indexing systems for easy retrieval of records, ensuring that all files are current, complete, and correctly referenced.

  • Supporting management in implementing and improving the document control system to promote operational efficiency.

  • Performing basic clerical calculations, compiling statistics, preparing correspondence, memoranda, and routine reports as directed.

The incumbent will play a vital role in supporting audit readiness and maintaining data integrity across all administrative and logistical processes. This position requires strict adherence to prescribed confidentiality, data security, and record-keeping policies and demands a proactive and disciplined approach to work.
